Adecco is partnering with a leading multinational pharmaceutical company to recruit a (Part-Time) Executive Assistant.
The Opportunity
Focus: Calendar management, Claim Expense submission and End to end travel arrangement
Office location: West, Mapletree Business City (onsite work is required, pleae make sure you are comfortable with the travel time)
Working hours: Office Hours - 3-days Tuesday, Wednesday and Thursday
This role will start off a contract position (Part Time)
The Talent
Preferably min 5 -7 years of experience in closely related role under pharmaceutical or healthcare industries as EA
Calendar management, Claim Expense submission and End to end travel arrangement
Ability to adapt and handle any travel-related emergencies or issues that may arise during trips, providing assistance and solutions to ensure the safety and well-being of travelers.
The Job
Travel & Itinerary Management
Coordinate and manage all aspects of travel arrangements for team members to ensure smooth and efficient travel experiences.
Book flights, hotels, transportation, and other travel-related services in collaboration with travel agencies and vendors.
Source and arrange suitable lunch/dinner venues and other on-ground logistics as needed.
Create and maintain comprehensive travel itineraries, managing any changes or cancellations promptly.
Visa & Immigration Support
Research and stay updated on visa requirements for various countries, including documentation, application processes, and timelines.
Advise travelers on visa requirements and assist with the preparation and submission of visa applications.
Liaise with embassies, consulates, and visa processing centers to track application status and resolve delays or issues.
Travel Policy & Emergency Support
Provide guidance on corporate travel policies, procedures, and best practices.
Support travelers in case of travel-related emergencies or unexpected issues, ensuring timely and effective resolutions.
Maintain accurate records of travel expenses, invoices, and receipts, and prepare reports as needed.
Administrative Support
Manage team calendars, ensuring efficient scheduling and coordination.
Assist with meeting room bookings and preparation as required.
Create purchase orders (POs) and follow up on invoice processing and payment status.
